Frequently Asked Questions
Fees
What are your fees?
Each therapist’s fee is listed on their bio page. These fees are based on their experience, specialties, and credentials.
What is a sliding scale? Do you have a sliding scale?
Each clinician has a set amount of sliding scale openings in order to make therapy more accessible. Ask our admin when scheduling if there are currently any sliding scale openings available. A sliding scale is a lower fee based on need.
What forms of payment do you accept?
We accept all major credit cards, Health Spending Accounts (HSA), and Flexible Spending Accounts (FSA). You will be charged the day of your session. A credit card on file is required.
Insurance
Do you accept insurance?
We are a boutique-style private pay practice. This means that we work for you, not the insurance company. This means we do not accept insurance. When appropriate, our licensed clinicians may be able to provide a statement of reimbursement to submit to your insurance company towards your out-of-network benefits.
What should I ask my insurance company regarding out-of-network benefits?
You might want to ask: Whether you have out-of-network benefits for outpatient mental health services? Do you have an out-of-network deductible? What level of reimbursement they provide and what they consider a customary fee to be?
Who can provide statements of reimbursement?
Statements of Reimbursements or Superbills are provided by fully licensed clinicians.
How can I access my Statements of Reimbursement when I begin therapy at Key Therapy & Wellness?
Your Statement of Reimbursements can be accessed through your Client Portal, they are created monthly and automatically added to your portal.
Will I need a diagnosis to be reimbursed by my insurance company?
Most insurance companies require a diagnosis to reimburse. However, your therapist will talk about all of this with you. We want you to have the most information before making the decision that makes the most sense for you. Your therapist will also make you aware of the diagnosis, they will not keep that from you.
Scheduling an Appointment
How can I schedule an appointment?
Option 1: Look through our therapist’s bios and see who feels like a good fit for you. That might mean something in their bio resonates with you, they have a modality you have found success with before or sounds like it aligns with how you experience the world, it might also just be a feeling. Then click the Request Appointment button to see the therapist’s current availability. From there you can request the appointment directly. Our Client Care Coordinator will then reach out just to make sure that therapist can meet your needs. They will also give you any information you need to know before your first session. If our Client Care Coordinator and you find there might be a better fit, we will set up that appointment for you.
Option 2: Fill out our Contact Form below. Our Client Care Coordinator will take the information you give us and help match you with a therapist who is a good fit for your needs. This might also mean if what you need is not offered by our practice, we will give you referrals for other therapists or group practices who can meet your needs.
Key Therapy & Wellness Contact Form >
Why do you need to match me with a therapist who might be a good fit? Why can’t I just read their bio and choose?
You can read their bio and choose! We always suggest potential new clients browse our therapists and see who feels like they might be a good fit for you. We know that the best therapeutic relationship is one where you can feel safe, comfortable, and challenged. This means a good fit is the most important vehicle for change. When you request an appointment or fill out the contact form, our client care coordinator will reach out and help confirm the therapist you choose will be a good fit.
What is a “good fit” and what if I do not feel that with my therapist?
A good fit is someone who you feel aligns with who you are, makes you feel comfortable, you could be challenged by in a compassionate way, etc. Sometimes a good fit is just a feeling. If you have your first session and the therapist does not feel like a good fit, that is okay. You will receive a follow-up email after your first session and at that time if you think you’d like a different therapist we will help match you with one. There are many reasons why a therapist might not be a good fit. That does not mean the therapist is bad or there is something wrong with you. We find that the biggest vehicle for change is the connection you have with your therapist. At Key Therapy & Wellness our whole team is working to find you that best fit.
Policies
When will I be charged for session?
You will be charged for your session the night of your session.
Do require a card to be on file?
Yes, we require a card on file. This is to make payment streamlined and hold your appointments.
What is your cancellation policy?
Our practice has a 24-hr cancellation policy. We require 24-hours notice to cancel your appointment without penalty. In the event you do not give 24-hr notice, you will be charged for the session. If we are able to reschedule your appointment within the same week, there is no penalty. We prioritize our clients by holding space for each person we see. When clients cancel an appointment, our clinicians offer that space to other clients who need an appointment that week. When clients cancel within 24-hours or no show, other clients miss out on an opportunity to be seen.
Therapy & Expectations
Do I need a diagnosis or be diagnosed to seek therapy?
You do not need a diagnosis to seek therapy. At Key Therapy & Wellness, we believe therapy should be as normal as working on any other aspect of your health. The benefit of being a private pay practice is the flexibility in growth. You are not required to grow at any speed or focus on any one aspect of yourself. This does not mean that your therapist might believe a diagnosis is right for you, but it does mean you can seek therapy to work on any aspect of yourself without pressure.
How long are sessions typically?
Sessions are typically 50 minutes, however you and your therapist might find that longer sessions are beneficial, but you will decide on that together.
Will my information and what is said in session be confidential?
Yes what you say in session is confidential. There are four reasons what you say is not kept confidential.
· You disclose child abuse
· You disclose elder abuse (anyone who can’t take care of themselves)
· You disclose you are seriously thinking of harming yourself or others
· You want us to disclose to another person, that might be a physician, another therapist, a family member, etc.
What can I expect in my first session?
Here is a blog post describing just that.
What is a Client Portal?
Our Client Portal is like one you might have with your primary care provider. Through the portal, you will have access to your telehealth appointment, scheduling, billing statements, and practice documents. The platform is very user-friendly as well as HIPAA secure. Before your first session, you will receive an email instructing you to create your portal, which is attached to your email. You will then have access to it for the rest of your treatment.
